Does one need to have a document proving an observership was done, or not? I mean, is it just in case somebody asks for it, or you always have to prove it?

What unlikely... you got to be able to defend any statement you make in u r CAF. I have a obsn at a UNIV hospital In Texas done in 2004. At that time I was not thinking of USMLE so I did not take a proof/LOR. I only have my ID card of that period as proof. But i did not put that on the CAF/work exp. mentioned it in my PS though.

even i dont have a proof but
i do have an lor from the director there
who has mentioned my tenure in the lor

I believe PDs dont ask for your documents on interviews....you have to take them with you! though. What is unlikely to me is that they are going to ask you to prove your experiences with documents. Probably is more important to carry with you your research work if you have any to maybe discuss it with PDs.
Hotobhaga, I would try to contact the attending who got to know you the most from that experience, and try to get a letter (proof) from him/her and take it to your interviews....you have time...interview season is from oct to feb.
I am sure you can find info of those attendings online. If it is not possible I would find the person you first contacted to get the obs. and ask for a letter or something that mentions that you were there.
